An employee arrives at 08:00 and leaves at 17:00.
On paper, that is a full working day.
But where did those hours actually go?
The answer may be uncomfortable.
A surprising amount of the working day can disappear into activities that produce very little business value.

But being busy and being productive are not the same thing.

Think about what happens between the start of an employee’s day and the work they were actually employed to perform.
Time disappears into:

- Reading unnecessary emails.
- Copying information between spreadsheets.
- Recreating reports.
- Looking for the latest version of a document.
- Waiting for approvals.
- Attending unnecessary meetings.
- Correcting avoidable mistakes.
- Repeating work somebody else has already completed.
Individually, these activities may seem insignificant.
Across 20, 50 or 500 employees, they can represent thousands of hours of lost productivity every year.
The biggest productivity problem may not be what your employees are doing. It may be everything they have to do before they can do their actual jobs.
Before You Hire Another Employee, Look at the Work
When a department becomes overloaded, the natural response is often to ask for another employee.
Sometimes that is absolutely necessary.
But there is another question management should ask first:
Where is the existing team’s time actually going?
If employees are spending hours manually preparing reports, searching through email, copying data or repeating administrative processes, adding another employee may simply add another person to the same inefficient workflow.
The better starting point is the business process.
Look at:
- What work is being performed.
- Why it is being performed.
- Who performs it.
- How long it takes.
- Where information comes from.
- Where duplication occurs.
- Which steps add genuine business value.
Sometimes the quickest productivity improvement comes from removing work rather than automating it.
Your Existing Technology May Already Be Enough
Many organisations immediately look for new software when productivity becomes a problem.
But businesses may already own much of the technology they need.
Microsoft 365 provides tools such as Excel, Outlook, Teams, Word and PowerPoint that employees use every day.
The question is whether they are using them effectively.
Advanced Microsoft Excel skills can dramatically reduce the time required to analyse information and prepare reports.
Better use of Outlook can reduce time spent managing email.
Teams can improve collaboration and reduce unnecessary document duplication.
Microsoft 365 can connect information and people more effectively.
But technology only creates value when the underlying workflow makes sense and employees have the skills to use it properly.
Then Ask Where AI Can Help
Once the workflow is understood, artificial intelligence becomes far more useful.
ChatGPT and Microsoft Copilot can assist with:
- Drafting and summarising information.
- Preparing reports and documents.
- Analysing information.
- Summarising meetings.
- Supporting research.
- Improving communication.
- Reducing repetitive administrative work.
But AI should not automatically be the first solution.
If an employee spends three hours completing a process that should not exist, reducing it to one hour with AI is still one hour wasted.
Automating unnecessary work does not make it necessary.

Measure What Comes Back to the Business

- Staff spend less time managing unnecessary email?

- Microsoft Copilot reduce administration without compromising quality?
- Employees spend more time on customers, analysis and decision-making?
Those improvements can be measured in hours, costs, response times, reporting speed and business outcomes.
That is far more meaningful than measuring how many employees have attended an AI course or how many Microsoft 365 applications they use.
Make the Invisible Work Visible
Most businesses know what they pay their employees.
Far fewer know exactly where their employees’ time goes.
That is why improving business productivity should begin with understanding the work itself.
Review the process.
Identify the wasted time.
Strengthen the skills.
Use the Microsoft 365 technology already available.
Then introduce ChatGPT, Microsoft Copilot and other AI tools where they can genuinely improve the outcome.
And keep people responsible for validating the results.
AI produces language. People remain responsible for decisions.
