The Productivity Problem AI Cannot Solve

Cape Town: Businesses around the world are investing heavily in artificial intelligence with the expectation that employees will become more productive.

While AI can save time by drafting emails, summarising meetings, analysing information and generating reports, there is one productivity problem it cannot solve.

AI cannot fix the way work is organised.

Many organisations assume that adding AI to existing workflows will automatically improve efficiency. In reality, employees often continue to experience the same delays, duplicated work, approval bottlenecks and information overload they faced before AI was introduced.

The technology may work faster, but the underlying business processes remain unchanged.

According to Arnold Muscat, Director of College Africa Group, organisations often focus on the technology before understanding where productivity is actually being lost.

“Businesses frequently ask how AI can make employees more productive. The better question is why employees are losing productivity in the first place.”

Employees spend hours every week searching for information, attending unnecessary meetings, rewriting documents, chasing approvals and manually transferring information between systems.

More often, they are symptoms of fragmented processes, inconsistent ways of working and underutilised workplace skills.

Improving productivity, therefore, requires more than simply adopting new technology.

By examining workflows from the initial request through to the outcome, businesses can identify where time is being lost, where unnecessary work exists and where technology can genuinely add value.

Sometimes the solution is artificial intelligence.

Sometimes it is better use Microsoft 365.

Sometimes it is improved Microsoft Excel skills, clearer communication or removing unnecessary process steps altogether.

The organisations achieving the greatest return from AI are those that first improve the way work is performed.
