Paper Trail Makes OCR the Core of Its Document Software

13 August 2026 By Alan Straton

Being able to retrieve any file in a matter of seconds, not simply to store it electronically, is where the real payoff of going paperless lies. That is the message Paper Trail, the Johannesburg-based enterprise content management provider, is carrying through August as it draws attention to the role optical character recognition plays within today’s Document Management Software. With South African firms clearing winter backlogs and readying their records for the busier stretch ahead, the company, which has spent two decades building document and workflow tools for local organisations, argues that findability is what separates a genuine digital archive from a mere digital store.

Information is rarely in short supply; what most organisations struggle with is putting their hands on the right piece of it. Signed agreements, contracts, invoices and application forms tend to be scattered across filing cabinets, shared drives and inboxes, with no obvious single place to search. Paper Trail’s answer is a document management system that ingests both paper and digital records, indexes them, and holds them in a secure central repository the right people can reach whether they are at their desks or working elsewhere.

Optical character recognition sits at the heart of all this. Paper Trail caters for bulk and online capture, image enhancement, and full-page or zonal OCR that converts scanned pages into fully text-searchable PDF images. Form and barcode recognition are supported too, alongside automatic or manual page separation, meaning a mixed pile of paperwork can be scanned, divided and filed without anyone sorting page by page. The moment a document is captured, its contents turn into searchable text instead of a flat image, and that shift is precisely what enables rapid retrieval.

The capture workflow is built to strip away friction at the exact point where paper first enters a business. A document can be scanned in bulk or taken in online, cleaned up for legibility, read through full-page or zonal OCR, split automatically and indexed so that it arrives in the correct location with no manual sorting. What emerges is a tidy, searchable archive that expands in an orderly fashion, rather than a digital heap that proves every bit as awkward to navigate as the paper it was meant to replace.

Central access to documents has shifted from a nice-to-have to something closer to essential as remote and hybrid work have taken hold. A shared filing cabinet helps nobody when staff are split between home and the office, and email attachments soon breed into rival versions. Paper Trail’s electronic content management gives teams a way to organise digital assets, share content securely and work on the same records without shunting copies back and forth, cutting down on both duplication and the danger of someone using the wrong version.

These concerns cut across many sectors. Property agencies, finance departments, HR teams and travel businesses all handle heavy volumes of paperwork that has to be stored, referenced and, in plenty of cases, kept for compliance purposes. That range of demands is mirrored in Paper Trail’s wider suite: LeaseHub for gathering and signing leases, PeopleHub for managing the employee lifecycle, CreditorsHub for accounts payable, TravelHub for capturing supplier invoices in the travel trade, and PaperTrail Sign for legally binding electronic signatures. The same electronic content management foundation sits beneath every one of them.

In this arena, trust depends on far more than a feature list. South African organisations holding personal and financial data are obliged to manage it under the Protection of Personal Information Act, which sets out firm requirements for how records are stored, accessed and safeguarded. A structured repository with controlled access reinforces that duty by maintaining a record of who may reach what, instead of leaving confidential documents strewn across personal drives and inboxes. Paper Trail characterises its solutions as automated and compliant, engineered to save time, sharpen data accuracy and shield critical information.

There is a quantifiable dimension to this too. The company builds its software around results a business can actually measure, among them the working hours reclaimed through process automation, the oversight of tasks across business units for a sharper picture of operations, and the reduction of errors that dog manual handling. In an organisation still leaning on paper, the time swallowed by filing, searching and re-keying mounts up unnoticed over the course of a year, and this is frequently the very first place those hours can be won back.

Paper Trail also extends beyond its packaged offerings, providing custom development for businesses whose processes will not bend to an off-the-shelf tool. The firm casts itself as a technology partner rather than a vendor of fixed software, building solutions that perform against the metrics a given organisation genuinely cares about. For a business leaving paper behind for the first time, that adaptability can decide whether a system is embraced or quietly circumvented.

There is good reason to look over these systems in August. Sitting after the mid-year point many South African companies use to close their books, yet before the year-end scramble, it is a sensible moment to straighten out archives and seal the gaps that hold teams back. Effective Document Management hinges less on any single product and more on a dependable way of capturing, storing and locating information, so that people spend less time chasing files and more on the work those files support.

Training and customised support stand behind the software, help desk cover for critical systems included, and Paper Trail builds bespoke solutions rather than asking every business to squeeze into one fixed template. It is that blend of capture technology, secure storage and continuing support the company cites when it frames the journey from paper to searchable digital records as a long-term investment rather than a one-off project. For organisations still making up their minds, demonstrations are on offer so teams can watch capture, storage and retrieval at work on their own type of paperwork.
