Executives should understand where work is slowing down before deciding which AI platform—or combination of solutions—their organisation needs.

A CEO approves Microsoft Copilot licences for the management team. Another department starts experimenting with ChatGPT. Individual employees adopt additional AI tools they have discovered online.
Six months later, senior management asks a reasonable question: “What measurable difference has AI made to the business?”
The answers are often unclear.
Employees may be using AI, but reporting still takes too long. Information remains scattered across emails, spreadsheets and shared folders. Teams continue duplicating work. Managers are still waiting for accurate information.
The problem is not necessarily ChatGPT or Microsoft Copilot. The organisation may simply have chosen its AI tools before understanding the work they were expected to improve.
Start with the business problem
Many AI discussions begin with the wrong question.
Executives ask whether they should invest in ChatGPT or Microsoft Copilot. The better starting point is: where is the organisation losing productive time, and what is causing it?
A finance team may spend days consolidating spreadsheets because departments submit information in different formats. An operations manager may receive updates through email, Microsoft Teams, telephone calls and handwritten notes. HR may repeatedly recreate documents because approved templates are difficult to locate.
These are workflow problems before they are technology problems.
An AI assistant may help employees complete parts of the work faster. It will not automatically remove unnecessary approvals, clarify accountability, standardise poor data or repair a fragmented process.
Technology can accelerate work. It can also accelerate confusion.

Why AI Workflow Discovery should come first
AI Workflow Discovery examines how employees perform their work before the organisation invests further in AI technology or training.
The process considers:
- Where information enters the workflow
- Who handles or approves it
- Where information is retyped or duplicated
- Which tasks consume the most employee time
- Where delays and errors occur
- Which activities could be simplified or standardised
- Which tasks could benefit from AI assistance
- Which decisions must remain under human control
This prevents an organisation from purchasing AI licences and then searching for a business problem to justify them.
It also helps leadership distinguish between three different requirements: process improvement, employee capability development and appropriate AI adoption.
In some cases, the best solution may be a redesigned approval process or a standard reporting template. In others, employees may need stronger Excel or Microsoft 365 skills. Certain workflows may benefit from ChatGPT, while others may be better suited to Microsoft Copilot.
The organisation may ultimately need all three. The order still matters.
Where ChatGPT can create value
ChatGPT for Business can serve as a flexible business productivity assistant across a wide range of activities.
Employees can use it to support:
- First drafts of reports and business documents
- Email and customer communication
- Meeting preparation
- Brainstorming and problem-solving
- Summarising suitable information
- Process documentation
- Creating templates and checklists
- Structuring ideas and improving written content
Its flexibility is one of its greatest advantages. It can support different departments and tasks without being limited to a single workplace application.
That flexibility also requires clear boundaries.
Employees must understand what information may be entered, how outputs should be checked and when AI should not be used. A professionally written response can still contain an incorrect fact, an unsuitable recommendation or invented information.
ChatGPT can accelerate the first draft. It cannot assume accountability for the final decision.
Where Microsoft Copilot can create value
Microsoft Copilot Training focuses on using AI within the Microsoft 365 environment where many employees already perform their daily work.
Depending on the organisation’s licences, configuration and permissions, Copilot can assist with tasks involving Outlook, Word, PowerPoint, Excel, Teams and other Microsoft 365 applications.
Practical uses may include:
- Drafting and refining emails
- Developing Word documents
- Creating presentation structures
- Supporting spreadsheet analysis
- Summarising Teams meetings
- Identifying actions and follow-up items
- Working with information available within the Microsoft 365 environment
Copilot may be the stronger fit when the organisation wants AI embedded within established Microsoft 365 workflows.
However, integration alone does not guarantee productivity. If documents are poorly organised, permissions are inappropriate, data is unreliable or employees lack core Microsoft 365 skills, Copilot may expose existing weaknesses rather than resolve them.
Before expecting employees to use Copilot effectively, organisations should ensure that they understand the underlying applications and the work being performed.
Better workplace skills create better AI outcomes.
ChatGPT or Copilot is not always the real decision
The two platforms should not necessarily be treated as competitors.
ChatGPT may be suitable for flexible drafting, thinking, research assistance and process documentation. Microsoft Copilot may be more appropriate when employees need AI assistance within Microsoft 365.
Some organisations may benefit from both. Others may require only one. Certain teams may not yet need either.
The correct choice depends on the workflow, the information involved, the business objective and the organisation’s governance requirements.
That is why the executive decision should not be reduced to a software comparison.
A tool should be selected because it supports a clearly identified business need—not because it is popular, available or already being used informally.
Governance and human validation remain essential
Whichever platform the organisation chooses, employees remain accountable for the work produced with it.
AI outputs must be checked for accuracy, relevance, tone and potential risk. Confidential, personal and commercially sensitive information must be protected. Organisations should establish clear rules covering approved tools, acceptable use, data handling and human review.
The principle is straightforward:
AI produces language. People remain responsible for decisions.
Training should therefore extend beyond prompting techniques. Employees need to understand the business task, recognise weak outputs and know when professional judgement must override an AI-generated recommendation.
Ask better questions before buying more AI
Before approving additional AI licences, executives should ask:
- Which business problem are we trying to solve?
- Where are employees currently losing productive time?
- Is the underlying workflow clear, consistent and measurable?
- Could the process be simplified before introducing AI?
- Do employees have the Microsoft 365 and workplace skills they need?
- Would ChatGPT, Microsoft Copilot or another solution best support the task?
- How will outputs be validated?
- What business outcome will determine whether the investment is successful?
These questions turn an AI purchasing decision into a business productivity decision.
The right tool follows the right diagnosis
ChatGPT and Microsoft Copilot can both deliver meaningful value. Neither should be the automatic starting point.
